Summary

  • What we take: your login details (email, and mobile number once mobile login starts), device and app-version details, and, only if you agree, a summary of what your business sells, without your name or your customers' details.
  • Why: to run your account, and to keep the Free and GST plans running at low or no cost.
  • Who we share it with: only companies in our group, and only the summary in anonymous, combined form, for market analysis, marketing and ads.
  • Your choice: you agree on a separate screen where nothing is ticked for you. Withdrawing is just as easy. If you withdraw, the Free and GST plans stop, but you can always open, view and export your own data.
  • Complaints: we reply within 7 working days and resolve within 10 working days.

1. Who this policy is for

This policy applies to anyone who uses the Shubh Accounting software or this website. In it, "we" and "us" mean Shubh Accounting. It explains what personal data we take, why, who we share it with, and the choices you have, as required by India's Digital Personal Data Protection Act, 2023.

2. Data we take to run your account

WhatWhy
Email addressTo send your login one-time password (OTP), identify your account, and tell you about your account and updates.
Mobile number (once mobile login starts)Login is by email today. Soon you will be able to log in with email or mobile number. If you use your mobile number, we use it in the same way as your email.
Plan and payment recordsTo run paid plans, and because Indian tax law requires us to keep invoices and payment records.
Device ID and device nameA random ID created when you install the software, and a name such as "Windows PC". We use them to keep you logged in and manage the devices on your account.
App version and internet (IP) addressThe software tells our server its version so we can tell you when an update is available or needed. Like any website, our server also sees your IP address when the software connects.
Consent recordsWhen you give or withdraw consent (section 3), we record the date and time, so that we can prove your choice and apply section 3.6.

Your accounting books (parties, items, invoices, payments, expenses) are stored on the drive you choose on your computer.

When the software uses the internet

The software needs internet for your first login and, from time to time, to check for updates and to send Contribution Data if you have agreed to it. Your everyday work does not need internet.

3. Contribution Data (only with your consent)

3.1 What it is

Contribution Data is a short summary of what your business sells. The software makes it on your computer from your entries. Only these fields are sent:

SentNever sent
Item details: name, HSN/SAC code, brand, model, unitYour customers' and suppliers' names, phone numbers, addresses, GSTINs or balances
Quantity and selling price per item, totalled for each monthIndividual invoices, invoice numbers, or dates more exact than the month
Your business category, district and pincodeYour name, business name, email, mobile number or GSTIN
Your plan typeYour contacts, photos, files, location or other data on your device

3.2 Why we take it, and who we share it with

We use Contribution Data for three purposes only:

  • Market analysis: which products sell more, where and when.
  • Marketing: deciding which products, offers and services to promote, and where.
  • Ads: choosing which ads to show in the software, based on your business category, district and anonymous trends. The software does not show ads today. We will tell you in the software before ads start. Advertisers do not receive any data about you.

We share Contribution Data only with companies in our group, meaning companies that own us, that we own, or that are under the same ownership as us, and only for these three purposes. We will list these companies on this page before any sharing starts. We do not share Contribution Data with anyone outside our group.

3.3 How we keep it anonymous

  • We use and share Contribution Data only as combined figures that include at least 10 different businesses. Smaller groups are merged into a wider area or category, or left out.
  • Neither we nor our group companies try to find out which business a figure came from.
  • Contribution Data is never used for loans, credit scoring, insurance or any decision about you, and is never given to lenders or credit bureaus.

3.4 How you give consent

  • The software asks for your consent on its own screen, explaining what is sent and why. Nothing is sent until you tick the box and confirm. The box is never ticked for you.
  • You can read that screen in Hindi, Gujarati or English.

3.5 Consent is the price of the Free and GST plans

The Free plan and the GST plan (₹110 a month + GST) are offered in exchange for Contribution Data. If you do not want to share Contribution Data, the DPA plan (₹16,500 a year + GST, available by email to support@shubhaccounting.in) runs without it.

3.6 Withdrawing consent

  • You can withdraw at any time, in the software, in as few steps as it took to give consent. You can also email us.
  • From that moment, no more Contribution Data is sent.
  • The Free and GST plans stop. You can still open the software, view all your data and export it to Excel or CSV. If you were on the GST plan, we refund the unused part of your fee.
  • Figures already combined with other businesses cannot be separated out again, because they no longer show which business they came from.
  • To stop misuse of the Free plan: you may withdraw and give consent again up to 2 times in 12 months with no effect. After that, each time you give consent again, the software is suspended before your plan restarts: 1 day the first time, then 2 days, then 4 days, doubling each time. During a suspension you can still view and export your data.

4. When you visit this website

  • We use Cloudflare Web Analytics, which counts page views without cookies and without tracking you across other websites.
  • If you email us, we receive your email address and message.

5. Service providers

We use service providers to run the product: email delivery for login OTPs, hosting for our login server and database, and hosting for this website. They process data only to provide those services to us. Our login server and database are currently hosted in Singapore.

6. How long we keep data

Small fixes, such as clearer wording, only change the date at the top of this page.
